Capitalization of Moveable Equipment


Moveable equipment is a tangible asset with a unit cost of $5,000 or more, titled to the University and having a useful life of one or more years. The asset must either be able to function on its own or with the integration of various components function as one system.

The proper sub code is 5200. Sub code 5100 should be used for the purchase of a vehicle.

Reporting changes to moveable equipment records:


The change/disposal form has been designed to help departments communicate any changes in status of equipment prior to their next inventory. This information is routed to the Property Management office and likewise, a confirmation notice is emailed to the requestor.
  • Equipment is sent to surplus
  • Requesting to surplus non-title equipment
  • Equipment was sold
  • Equipment was transferred to another institution
  • Equipment was moved to another location
  • Equipment was traded-in or exchanged
  • Equipment is being loaned to another department/institution
  • Equipment is lost/stolen or obsolete

Reporting receipt of equipment from another institution:

The transfer-in form has been created to help departments communicate any equipment that is received from another institution having a fair market value of at least $5,000.
